What is business email hosting?

How to choose a plan: what actually matters

• Storage per mailbox. 5 GB is tight for anyone who receives attachments. 25 GB and up is comfortable. Check whether storage is per user or pooled.

Setting it up: the short version

1. Have a domain. If you do not yet, register one first — everything else depends on it.
2. Choose a plan and create your mailboxes. Start with the addresses you will really use; add more later.
3. Point the MX records at the new mail servers in your domain’s DNS. This is the switch that routes mail.
4. Add SPF, DKIM and DMARC records. SPF says which servers may send as you, DKIM signs each message, DMARC tells receivers what to do with anything that fails. Skipping these is why “my email goes to spam”.
5. Migrate existing mail over IMAP before you switch, so nothing is lost.
6. Configure devices — phones, Outlook, Apple Mail — using the IMAP/SMTP settings your provider gives you.
7. Send test messages to a Gmail address and an Outlook address and check they land in the inbox, not the spam folder.

Frequently asked questions

Can I keep using the Gmail interface with my own domain?

Yes, in two ways. Either subscribe to Google Workspace, which puts your domain inside Gmail properly, or add your domain mailbox to a personal Gmail account via IMAP and set it to send as your domain address. The second is free but loses the admin controls and is a poor fit for a team.

How many mailboxes does a small business need?

One real mailbox per person, plus free aliases for role addresses like info@, sales@ and accounts@. A five-person firm typically needs five mailboxes, not fifteen.

Why does my business email go to spam?

Almost always missing or wrong authentication records. Check that SPF lists every service that sends on your behalf (mail host, website forms, newsletter tool), that DKIM is enabled and published, and that DMARC exists. Also make sure your domain is not on a blacklist from earlier misuse.
